Our commitment to maintaining your privacy

This Privacy Statement has been created because we value our applicants and users and recognise their right to keep personal information private.

We collect personal information and personal data for the purposes of recruitment.

This Privacy Statement has been prepared by the Department of Human Services (DHS) in relation to its Careers Portal located at www.career.dhs.sa.gov.au (the Site) and its Human Capital Management System (the System), both of which are hosted by WorldLearn Pty. Ltd. across desktop, mobile, tablet and apps.

Definitions

Where used in this Privacy Statement, the terms “personal information” and “Australian Privacy Principle(s)” have the meaning attributed to those terms in the Privacy Act (Cth) 1988 (“Privacy Act”).

In this Privacy Statement:

  • any reference to "we","us" and "our" means DHS;
  • Applicants” refers to users of the Site and “Registered Users” refers to Applicants who register on the Site, referred to generically as “visitors”, “users” or “you”, unless the context provides that only Applicants or Registered Users are being referred to;
  • GDPR” means the European General Data Protection Regulation, Regulation (EU)2016/679 and includes the UK GDPR; and
  • personal data” has the meaning attributed to that term in the GDPR.

We collect non-personal information on Site visits by users including, without limitation, which sections of the Site are most frequently visited, how often and for how long. This data is always used as aggregated, non-personal information, and may be shared with our partners to provide them with information relating to how visitors use the Site. This is done for the purpose of providing you with the best and most efficient recruitment services.

IP Addresses

Our web servers gather your IP address to assist with the diagnosis of problems or support issues with our services, and to monitor the use of our Site, including monitoring the location of our users.

Cookies

DHS uses cookies and scripts to provide Applicants with a better browsing experience and to assist with improving website performance, aiding in error reporting, and testing new functionality. These cookies collect non-personal information such as preferences and click activity for measurement and for features such as remembering your details for ‘Auto Login’ (provided you have chosen this option) and remembering your search criteria.

If you do not wish to have cookies active while you browse the Site, you can “opt out” by modifying the privacy options in your browser. However, doing so will prevent access to some areas of the Site and limit your use of some of its functionality.

Third Party Measurement

To better understand our users, we use third party measurement companies to assess Site and mobile Site traffic. A tracking code is used to collect the following information on the use of the Site:

  • the number of page views (or page impressions) that occur on the Site;
  • the number of unique visitors to the Site;
  • how long these unique visitors (on average) spend on the Site when they do visit; and
  • common entry and exit points into the Site.

This aggregated, non-personal information is collated and provided to DHS to assist in analysing Site usage.

Collecting information on Registered Users

As part of registering on the Site, we collect personal information about Registered Users for them to take full advantage of our services. To do this, it will be necessary for Registered Users to provide additional information to us, which is accurate, current and complete. It is a Registered User’s choice to provide us with their personal information. However, if a Registered User chooses not to provide us with the necessary personal information, we may not be able to provide them with some or all of our services.

Registration

Becoming a Registered User allows you to apply for a job. To become a Registered User, you will need to create a Profile on the Site and submit some personal information, such as your name and email address. You may access your information at any time by logging into your Site Profile.

Storing resumes

Registered Users upload resumes as part of their application and use those resumes when applying for a job. Deleting a resume from their Profile on the Site will mean it is no longer accessible to the Registered User. Deleted records may still be stored by us in testing or backup systems for a period of time.

Where resumes are held in testing environments, these are held in closed and secure systems and information is only used for the purpose of internal software testing. Information held in backup systems is only held for the purposes of backing up systems in the event of a data loss.

Online Applications

Applying for a job via the Site requires Applicants to complete mandatory fields such as:

  • full name;
  • contact details; and
  • residency status.

Registered Users will also have the option of attaching a resume. When you apply for a job, applications, including attachments and cover letters, are stored on the Site.

You will also be required to provide information as part of your application via the System to assist us in assessing your suitability, such as information relating to:

  • medical and/or disability;
  • criminal history; and
  • employment history

By applying for a job, you are consenting to us providing the information you supply to the relevant DHS employees involved in the selection process for that job.

Contractors and Partners

DHS may also disclose your personal information to WorldLearn Pty. Ltd. from time to time, but only for the purpose of:

  • assisting us to deliver the services we offer to you;
  • IT security measures for the benefit of protecting customer data; and
  • ensuring the proper and efficient working of our IT systems and services.

Third parties with whom we share your personal information are required by us to comply with all relevant obligations relating to the use and disclosure of personal information that are outlined in the Privacy Act and any other applicable laws.

Storage & Security of Personal Information

We take all reasonable steps to ensure the security of the Site and System and to protect your information from misuse, interference and loss, as well as unauthorised access, modification or disclosure. We allow you to access your information in your Profile at any time to keep it accurate and current. Any information which we hold for you is stored on secure servers in Australia, that are protected in controlled facilities.

In addition, our employees and the contractors who provide services related to our information systems are obliged to respect the confidentiality and privacy of any personal information held by us.

In the event of a data breach, we are committed to complying in all respects with the requirements of all Australian Privacy Laws and where required, the provisions of the GDPR.

You can also play an important role in keeping your personal information secure by maintaining the confidentiality of any password and accounts used on the Site. Please notify us immediately if there is any unauthorised use of your account by any other Internet user or any other breach of security relating to your account.

Access to Your Information

Unless you become a Registered User and/or submit a job application, we do not collect information that identifies you personally. If you become a Registered User, you are able to change or update your Profile at any time by logging in to the Site.

Data retention

We retain information you provide to us and which we collect about you, including personal information and personal data, for so long as we continue to provide services to you and in accordance with the requirements of the State Records Act, 1997. General Disposal Schedule 30 requires that recruitment records are retained for a minimum of two years after the completion of the recruitment process, and sometimes longer in special circumstances.

European Economic Area and United Kingdom

If you are based in the European Economic Area or the United Kingdom, then in addition to what is set out above, the following applies to you in accordance with the GDPR.

We are a data controller and processor for the purposes of the GDPR and by you consenting to this Privacy Statement, we are able to process your personal data in accordance with this Privacy Statement.

In addition to your rights set out above, you may:

  • request we update or rectify any of the personal data that we hold about you;
  • withdraw your consent for us to use your personal information;
  • request we provide you with a copy of the personal data we hold about you in a portable and machine-readable form; and/or
  • share your personal data with a nominated third party.

Should you have any concerns in relation to our collection and/or processing of your personal data on the Site and in the System, then in addition to the process set out in the “Contact Us” section above, you have the right to complain to your local data protection regulator.
